Adding and Deleting Users

Billing & Permissions

Adding and deleting users may have billing implications. If you aren't sure, speak with your sales representative or email support@villagelabs.co.

Permissions requirement: You must be a network admin to add or remove users.

Adding users

Strongly recommended: If you are adding a new employee, we strongly recommend you add a user to Village after they've been added to your SaaS tools (such as Slack, Google, Jira, etc.). This will make the user ID mapping faster and easier 😄.

  1. Go to your Network Manager

  2. Click Users on the main page

  3. Click 'Add User'

  4. Enter the new user's email address and choose whether they are an admin or member

  5. Uncheck send email if you don't want them to be notified

  6. Click Submit

  7. Depending on their onboarding status in the SaaS tools you have connected, you may get a screen asking you to review their ID mapping. If you do get this screen, feel free to reach out to your Village Labs rep who can help you. If you want to tackle it yourself:

    1. This screen is mapping the user IDs that are assigned to this new user in the various SaaS tools that they use to the email address you have set this user up with in Village Labs

    2. This is an important step to get right, since if we don't map the user IDs correctly in the different tools, we may not be able to correctly attribute their activity in these tools to the right user in Village Labs, leading their reports to be degraded.

    3. Depending on their status in your SaaS tools, you will likely see a number of rows for this user:

      1. Make sure every SaaS tool this user utilizes has a corresponding ID.

      2. If the user does not use the particular SaaS tool, feel free to leave that row blank

      3. If there is a blank for a SaaS tool ID that a user does utilize:

        1. For Jira: you will need to copy/paste their Jira ID into the row. You can find it here.

        2. For Github: Github uses a username system and you'll need to map the correct username in the dropdown to this user. You can find their username here.

        3. If the row is blank, and a user does use the SaaS tool, it may be that the user is using an alternate email address or alias in that tool. Please reach out to your Village Labs rep as they will handle this for you.

      4. When the mapping looks good, click Upload

  8. You've now created the user and mapped them correctly. Next we'll make sure they have the right reporting lines.

  9. Visit the Org Chart page

  10. Edit the new user to make sure they have the right manager and team.

  11. The new user (or their manager, or an admin) can now edit their Directory page (name, title etc) and begin viewing reports.

Deleting (Banning) Users

See the walkthrough below.

  1. Navigate to Org Chart (as a Network Admin)

  2. Find the user to delete/ban from Village

  3. Click the Pen icon to edit

  4. Click the Trash icon

  5. Confirm Deletion

  6. The user will no longer have access to Village Labs, no reports will be generated, and their Directory profile will be deleted.

  7. You will still be able to see this User, showing as 'Banned' in the Users section and can unban in future if needed.
